BV OVERLOOK PROPERTY POLICIES

PAYMENT POLICIES

  1. Full payment is due at the time the reservation is made. All rates are subject to Taxes and administrative fees. Taxes and Fees are subject to change without notice. 

  2. Rates/policies are subject to change and vary during high impact periods and special requests.

  3. We accept major credit or debit cards (Visa, MasterCard, American Express, Discover). We do not accept personal check payment. 

  4. A valid credit card is required to be on file for all reservations, which BV Overlook  has the right to charge for any unpaid amounts owed by the guest, or for such other amounts that are the responsibility of the guest (including, without limitation, property damage caused by a guest), in accordance with applicable law.

  1. CANCELLATION POLICY

    1. We charge a $20 Cancellation Fee for any cancellation reason. We allow for a full refund, minus the Cancellation Fee, for any cancellation at least 7 (seven) days prior to your arrival date. If you must cancel with less than 7 days notice, you are responsible for the entire cost of your reservation. 

    2. The cancellation fee also applies to changes in your arrival/departure date which result in a shorter stay. No refunds are provided for late arrivals or early departures. 

    3. BV Overlook reserves the right to cancel or amend any reservation without notification should the deposit or payment dates not be met. 

    4. For 28+ day stays, cancellations may be made for a full refund of your deposit up to the date that is 15 days prior to your scheduled check-in date. Cancellations made after the date that is 15 days prior to your scheduled check-in date, but prior to arrival, will be subject to a cancellation fee equal to all required deposits previously paid. No refunds will be given for any cancellation following your check-in date.

  2. CHECK-IN AND CHECKOUT TIMES

    1. Check-in is 3:00pm on the day of arrival. If you would like to request an early check-in, please contact the Front Office. Early check-ins cost $20. All early check-ins must be approved by Management and are based on availability.

    2. Check-out time is 11:00am on the date of departure. Late check-outs are subject to an additional fee. All late check-outs must be approved by Management. If approved, late check-outs will cost $20, based on availability. 

    3. If you wish to extend your stay, please contact the office 24 hours in advance. Based on availability, we may or may not be able to extend your stay or keep you in the same site or reserved accommodation.

  3. ARRIVAL TO PROPERTY

    1. Please visit the Front Office to check-in for your reservation. To expedite your check-in, please acknowledge and sign our policies online. Office hours are dependent on season. Please check with the property for hours. If you require a check-in after hours, please contact us ahead of time to make alternate arrangements for your check-in

  4. FEES

    1. All reserved accommodations will be charged a one-time, non refundable cleaning fee at the time of booking.

    2. Should guests leave a property in unacceptable condition, an additional $100 will be charged to their account.

  5. DOGS

    1. Well-behaved pets are welcome! 

      1. All dogs must be registered on property. Upon check-in, you are required to notify the office of your pets if you have not already added them to your reservation during the booking process.

      2. Pets are allowed for a one-time, non-refundable fee of $50 for Tiny Homes.

      3. Pets are allowed for a one-time, non-refundable fee of $25 for Cabins. 

      4. Pets are allowed in any tent or RV site free of charge.

      5. Pets are not allowed in Yurt or Glamping Tent due to canvas construction. 

      6. All damages or injury to property or persons is the responsibility of the guest. 

      7. All pet waste must be properly disposed of. Waste bags are provided on property. Not cleaning up after your pet may result in an additional clean up fee of $50.

      8. Pets resulting in noise complaints will be charged an additional $75 fee. If recurring, guests may be asked to leave.

      9. All pets must be leashed when outside, pets are not to run at large. Owner’s with pets off leash may be charged a $50 fee. 

      10. Guests must remove pets from the accommodation before housekeeping can service or enter a reserved accommodation. The BV Overlook team will not enter a reserved accommodation with a pet present.

      11. Management reserves the right to deny a Guest a pet if the proposed pet would pose a threat to the health and safety of other guests.

      12. Management reserves the right to evict from properties and forfeiture of all monies paid should Guest disregard policies set forth. 

    2. In the event that your pet is left unattended, and this results in noise concerns and /or damage, a fine will be incurred and you will be contacted by Management to rectify the situation. If the situation is not resolved, you may be asked to vacate the premises. BV Overlook does not accept responsibility for liability for unattended pets.

    3. Only 1 dog per 28 day/monthly stay reserved accommodation.

  6. SMOKING

    1. Absolutely No Smoking of any kind inside. Guests who violate this policy will be charged an additional cleaning fee of $500.

  7. CHANGES BY BV Overlook

    1. BV Overlook reserves the right to make accommodation/site and/or other changes to a guest reservation, which become necessary due to unforeseen circumstances. BV Overlook will do everything possible to ensure the impact of any change is as minimal as possible.

  8. MAINTENANCE

    1. Units need to be free of mold and dirt, etc. Any skirting on units must be well maintained. In order to keep all trailers safe and towable, the main frame, including the hitch and axles, must be kept intact with no rusted through areas. The exterior (underbelly, walls, and roof) must be maintained in safe condition, with no large dents or holes that could cause injury, allow rot from leaking, or openings for insects or rodents. No window a/c units are allowed.

    2. Guests agree to move temporarily from their site to an alternative section in the event that construction must be performed. 

    3. Management may enter a unit without prior written consent in the case of an emergency or when the unit has been abandoned.

  9. PROPERTY FACILITIES & AMENITIES

    1. Each accommodation/site has a stated maximum occupancy level. The maximums are set to ensure your comfort as well as not to overburden the property. Any additional occupants may be asked to leave the property. 

    2. Tents, pop up campers, and conversion vans are only permitted on designated sites. Sites are designed to accommodate one unit at a time.

    3. Please obey parking rules for our Tiny Homes. No more than 2 vehicles per RV spot.  No additional trailers are allowed in the RV sites. Please check with the front desk for additional trailer parking or questions regarding parking.

    4. All RVs shall comply with applicable statutes, regulations and codes. All RVs shall be tagged and registered. Other than RV use, no other use of water or sewer sources are permissible. No RV or vehicle shall exceed 10 mph within the park.

    5. Guest(s) shall keep the perimeter of their accommodation, unit or site tidy and rubbish free. 

    6. All sewer hoses must be undamaged, and sewer connections must be tight with a sewer donut around the sewer hose at the point of connection to the sewer pipe. Any damaged or leaking hose must be repaired immediately. Guests are responsible, and will be charged, for any damages caused by the guest's sewer hookup.

    7. All RV skirting must be temporary and removable, with no permanent or semi-permanent structures allowed. The skirting should be made of a fabric or plastic tarp material, either white or black, and must be securely attached to the RV. The use of wooden, hay, or any other structures as RV skirting is strictly prohibited.

    8. The discharge of any wastewater (septic or gray water) or any other toxic or hazardous material is strictly prohibited. Formaldehyde products or any other tank cleaning chemicals are not permitted.

    9. Site electric pedestals are owned by BV Overlook - any guest found tampering with electrical pedestals will be removed from the property without any refund. Guests should not be overloading electric pedestals and should be utilizing code-compliant, approved outdoor extension cords. Please help conserve electricity, turn off all non-essential lights (inside and outside), A/C, and heaters when not in use.

    10. Guests are responsible for keeping their area clean and free of debris and clutter, which includes but is not limited to construction materials, excessive potted plants or other décor, and interior furniture. Sites and decks must always be kept neat and decks may not be used as a storage area. Only furniture intended for outdoor use may be located on sites and decks. No display of any appliances on decks or sites is permitted. Tarps, carports, washers, dryers, pools, etc. are not allowed on site. Sites deemed by the management to be in violation of this policy will require immediate cleanup/removal and may be subject to a fine and/or removal from the property without refund.

    11. Chain Link fencing or any type of structured crating that resembles home fencing is not allowed at any site. Open ended, non-permanent, open top crating that is made specifically for dogs (with a four-foot maximum height) may be allowed at a site with prior approval of management. Crating cannot damage any grounds or landscaping.

    12. No permanent structures allowed.

    13. Additional housekeeping services are available by request. We kindly ask that you provide us 48 hours notice or schedule at check-in. Housekeeping hours are from 10:00am - 3:00pm. 

    14. "Winter Water Policy" hoses must be disconnected overnight from the hydrant anytime temperatures are predicted to be below 35* Fahrenheit.  Violators are subject to a minimum $250 damage charge for repairs to our water system.

    15. No use of any incense, sage, candles, or other heavily scented products in accommodations/units.

    16. No use of generators.

    17. Please respect your neighbors' privacy and space by not walking on or passing through other guests' sites. Be mindful of our local culture, wildlife, and the community around you. We ask that you adhere to local bylaws and help conserve resources. We pride ourselves on maintaining an inclusive, family-friendly environment.. Any form of harassment, offensive behavior, or intolerant language related to race, color, national origin, religion, sexual orientation, gender identity, disability, or political views will not be tolerated. Displaying flags, signs, or other symbols that are vulgar, or represent political figures or candidates is prohibited. We reserve the right to evict any guest immediately, without refund, for not following these rules or for refusing to remove offensive displays or symbols upon request.

  10. FIREARMS & WEAPONS

    1. Guests must obey all federal, state and local laws regarding the ownership and possession of firearms and other weapons. Firearms and other dangerous weapons are not permitted on any property; provided that, if permitted by local law, guests that legally own a firearm may keep such firearm in a locked, private vehicle in parking areas. The discharge, use, display or handling of firearms, BB guns, air guns/rifles, or similar devices or weapons, or any other failure to comply with these guidelines, is strictly prohibited and will subject the offending guest to immediate eviction from the property, without refund.

  11. BUSINESS

    1. No business or commercial enterprise shall be permitted to operate from or within the property without prior written consent of property management, and no advertising signs may be placed on the site. This restriction does not preclude any guest from conducting business in their home on a strictly digital or remote basis (i.e. where the activities of the business do not bring additional traffic into the community or to the guest's site, cause a nuisance or excessive noise, affect the appearance of the guest's home, or it is deemed inappropriate by management, in their sole discretion. 

    2. A "business" also includes any commercial enterprise which:

      1. requires traffic from the outside of the property to enter for the purpose of dealing with said business

      2. uses any type of sign or advertising on the exterior of the home

      3. includes door-to-door canvassing of property guests

      4. interferes with the safe, pleasant, and enjoyable use of the property by any of its residents or guests

      5. involves the purchase of a manufactured home or RV or any interest in a manufactured home or RV for the purpose of resale, leasing, renting or other business use.

    3.  Private garage, tag, yard and craft sales are not allowed within the property except those that are approved or sponsored by management. Should this type of activity be sponsored, it is imperative that guests remove all items from their yards immediately following the event. 

    4. No type of business may solicit on property unless approved by management in writing. Please notify the property manager if you see any solicitors or suspicious activity.

    5. No guest/person shall list the properties address under any business name or LLC.

  12. SPECIAL OFFERS

    1. Special offers are subject to change at any time. Special offers cannot be used in conjunction with any other promotions.

    2. Special offers and discounts are not applicable for 28 day+/monthly stays.

  13. MISCELLANEOUS POLICIES

    1. Must be 21 or over to reserve and check-in. A credit card must be on file for reservation. 

    2. Quiet Hours: 10:00pm - 8:00am. Guests resulting in noise complaints will be charged an additional $75 fee. If recurring, guests may be asked to leave. 

    3. The use of fireworks, including sparklers, or any other form of explosive or incendiary device, is not permitted under any circumstances. Anyone caught with fireworks may be removed from the property without refund.

    4. BV Overlook will charge the credit card on file should any damage occur to the property during the reservation period. Damage to furniture, linens and other property will be assessed and then billed to the customer at our replacement cost, which may include labor costs. We will always be transparent in our communication about damage to the rooms. Keep in mind that excessively soiled linens, carpets and furniture will be included as damages.

    5. Keep all fires contained in the fire pit ring. Be fire aware and make sure that your fire is completely out before leaving or turning in for the night. Firewood is available for sale at the front office.

    6. Guests may receive occasional packages and special deliveries at the property, with property management permission, during Office hours. For regular mail service all guests must sign up for a separate PO Box, the property will not accept routine letters/packages on the guests behalf. The property is not responsible or liable for packages, their contents, the storage of them.  The property is not liable for any missing, lost, stolen or damaged mail or package.

    7. Tent camping is prohibited except in designated and approved areas.

    8. No guest may change their permanent address to that of the property. Upon departure from property, any packages delivered to the guest will be returned to the sender.

    9. BV Overlook is dedicated to creating a welcoming and respectful environment for both guests and staff. We ask our guests to always treat our staff with courtesy and respect. Any form of disrespectful behavior, such as shouting, abusive language, or rudeness, will not be tolerated.

  14. PHOTOGRAPHY/VIDEO CONSENT

    1. As part of BV Overlook marketing and other efforts, we may sometimes take pictures, video or audio recordings of the property and our guests and visitors. In choosing to stay at one of our properties, each guest and visitor present on the property hereby consents to our capture and use of voice recordings, images, videos, and likeness for any marketing or other purposes not prohibited by law, indefinitely, and without payment of any royalty, licensing or other fees whatsoever. If any minor children are present, their legal guardian is required to let the manager know at the time a photo or video is taken that permission is not given to use their likeness for any marketing purposes.

  15. DISCLAIMER

    1. Management reserves the right to evict or refuse entry to any person who has evidenced a disregard for the rules without a refund.

    2. The guest agrees that BV Overlook shall not be liable to guest/additional guest’s or any other person for any injury, loss or damage to any person or property on or about the premises. Guest shall hold BV Overlook harmless and indemnified from and against all loss or damage occasioned by use, misuses or abuse of any part of or fixture on the premises, surrounding areas and from or against any omission, neglect, or default of the guest, his/her guests or invitees. The guest acknowledges that BV Overlook, assumes no liability thereunder.
